Shropshire Rural Communities Charity and Shropshire RCC are the operating name of the Community Council of Shropshire. We are a registered charity (1096779) and a company limited by guarantee incorporated in England and Wales under company number 4652487. We are a ‘data controller’ for the purposes of the EU General Data Protection Regulation 2016/679 (‘Data Protection Law’). This means that we are responsible for, and control the processing of your personal information.
Why do we hold your personal data?
Unless you have given us express consent to contact you for other
purposes, we only hold your personal data to enable us to administer, provide
and record the services you have requested from us. We may also use your personal information to
invite you to participate in surveys or research or to respond to your queries
Who do we share your personal data with?
As a requirement of joining the Wheels to Work scheme we request your express consent to contact your potential or existing employer to confirm your employment and inform your employer that you have applied to come on our scheme. If you are applying for a moped, we are required to sharing your driving licence number with the DVLA in order to verify your photo-card driving licence. If we loan you a moped then your licence and relevant details are shared with our CBT provider and insurance company for legal and contractual purposes. If whilst using our vehicle you have an accident or commit a traffic violation then we may be legally obliged to disclose your personal data with the police or other enforcement body. We do not share you information with third parties for marketing purposes.
How do we protect your personal data?
We treat your data with the utmost care. We employ appropriate administrative, technical, and physical security measures to protect your information and data against accidental or unlawful destruction, loss, or alteration, and against unauthorised disclosure and access.
We use standard industry practices to protect Client information, including firewalls and SSL encryption. Our staff and volunteers follow detailed data protection procedures when handling personal data.
How long will we keep your personal data?
On completion of your loan period we keep your payment records for seven years to comply with HMRC rules. Six months after leaving a scheme your insurance questionnaire and the copy made of your driving licence is removed from your file. We retain the remainder of your personal information for a further 3 years after which the paper record is shredded and your personal information removed from our database.
